After a tape as been CLEANED™ by the CLEANER™, an .xml file AND a .pdf file should exist on the SAMMAPREP-PC laptop computer. These files should be copied onto a MAVIS Client station on a regular weekly basis. The pdf file should be transferred to UH for backup in the metadata folder. After this is accomplished, the clean xml file should be uploaded into MAVIS.

Retrieve xml and pdf files

• Open IMPORT-EXPORT folder → Open Clean Success folder
• Open the file manager and click on Network
• Double click on SAMMAPREP-PC
• Go to Users → Public → CleanXML → Success
• Move all test files into tests folder.
• Copy all other clean.xml and clean.pdf files into the IMPORT-EXPORT\Clean Success folder
• Move all clean.xml and clean.pdf files into the moved to Jacobs computer folder
• Open pending curatorial selection folder on SAMMAPREP-PC
• Copy all clean.xml and clean.pdf files into the IMPORT-EXPORT\Clean Success/pending curatorial selection folder
• Move all clean.xml and clean.pdf files into the moved to Jacobs computer folder
• Close SAMMAPREP-PC file manager window

Back up clean.pdf files at UH

• Copy clean.pdf files in the IMPORT-EXPORT\Clean Success folder to media specialist to place on lacie drives to be taken to UH
• Move pdf files to givenToRobbie folder
• Check pending curatorial selection folder
• Determine if pdf files are ready to be backup up
  • If a file has been selected, a collection number needs to be added to the file
  • If a file has been non-selected and is not tied to a collection, the file can be backed up as is
  • selected and non-selected files should be moved up out of the pending curatorial selection folder
• Give clean.pdf files to media specialist
• Move pdf files to givenToRobbie folder
• Wait for confirmation that files have been backed up on ODB30 server in metadata folder

Import xml files

• Confirm that pdf files have been backed up on ODB30 server in metadata folder
• Open MAVIS Client (note: link to instructional video that does not yet exist)
• Click Admin → Import from XML file…
• XML File/Path : Click File…
• Go to Clean Success
• Select all clean.xml files; open
• Input format: Choose SammaClean
• Stylesheet should be populated as C:\mavis\stylesheets_Current\import_sammaClean.xsl
• Run Import (or check Submit in background? and Run Import)
• Should be no errors. Click okay and close export window.
• Check that records imported okay.
• Move xml files into importedToMavis folder
