ORIGINAL ITEMS

Make proper spreadsheet

  • Create spreadsheet in online document site
  • Highlight all; format number as plain text (plain text formatting should be checked every time information is pasted into the spreadsheet or a new column is created)
  • Create header row and description row (can be pasted in and cleaned up)
  • If info is needed from MAVIS, do export from MAVIS
  • Paste data into corresponding columns and/or enter data into columns
  • Make sure all columns are filled in, have proper formatting
    • Make sure all ʻokina are `grave accents. Check Date formats. Make sure all red rows have blank spaces where they should have blank spaces. Etc.

Convert to .csv file

  • Download spreadsheet (download as OpenOffice; save file)
  • Open spreadsheet
  • Clean up spreadsheet
    • Remove description row and any rows already imported.
  • Save as csv
    • Navigate to proper folder in IMPORT-EXPORT folder
    • edit filter settings
    • Baltic (Windows-1257)
    • ^ field delimiter
    • no text delimiter

Import into MAVIS

  • Open MAVIS Client (note: link to instructional video that does not yet exist)
  • Click Admin → Import from XML file…
  • XML File/Path : Click File…
  • Navigate to csv file
  • Select the csv file
  • If applicable, choose Input format:
  • Choose appropriate stylesheet
  • Convert delimited file? should be checked
  • Delimited by Caret ^
  • Optionally enclosed by nothing
  • Save converted XML? should be checked
  • Archive imported files? should be checked
  • Run Import (or check Submit in background? and Run Import)
  • Should be no errors. Click okay and close export window.

Check that records imported okay.

  • Find relevant items
  • Look at the metadata

Mark as Imported

  • Move Files
    • csv and xml file should be in IMPORT-EXPORT\savedImports
    • Move these files into proper folder\imported folder.
  • Clean up Downloads folder
  • Update online spreadsheet
    • highlight rows and columns that have been imported
    • change background to light green color
